Property owners (Sellers)

If you are selling a property which is being reviewed by us for our buyer clients, we have visibility of your details on contracts of sale for our clients. We store copies of the contract of sale itself however separately from this we do not store or use your personal or contact information that appears on the contract of sale.

Tenants

If you are residing in a property that is being sold and which we are reviewing for our buyers, we have visibility of your details on contracts of sale for our clients. We store copies of the contract of sale itself however separately from this we do not store or use your contact information that appears on the contract of sale. In some cases we are provided with a copy of your lease. We store this lease and may provide a copy to the property manager taking over management of the property upon settlement of the property. We store these documents, however separately from this we do not store or use your personal or contact information that appears on the contract of sale or lease documents.


Property Buyers

We collect personal information from you if you enquire about using our services or sign to utilise our services. The information we collect from you which can be shared is your name, address, email address, phone number and gender, a copy of any mortgage pre-approval document you may have, and the name and contact details for your mortgage broker.

Your name and address is shared with selling agents for the purposes of making offers on property on your behalf, and noting you as the buyer on contract/s of sale. We also share with the selling agent for the purposes of the contract of sale the name of the lender you will utilise for your purchase, together with the finance amount you will require of the lender.

Your name, address, email address and phone number and gender will be shared with the property manager taking over management of your property upon settlement. Should contacting you be difficult due to the working hours you keep, or the location you live, we will share information with the property manager regarding the best times of day to contact you.

Your name, address, email address, phone number and date of birth will be shared with the conveyancer acting for you on your purchase. Note that your date of birth is required on the transfer of land documents by the titles office.

We may gather additional information from you to help us understand your financial position and life circumstance, to ensure we are targeting properties that match your situation. This information may include salary information, whether you have a partner or spouse, whether you have children, and whether you have other assets and/or liabilities.

When you use our website to request or purchase products or information, we may collect personal information from you such as your name, age, gender, contact information, and the products and services you are interested in or require more information about.

We may also collect and store information about your visit to our website, including:

  • To assist your mortgage broker with the financing of your purchase

  • To assist your solicitor/conveyancer with your purchase

  • To provide information on your requirements to a mortgage broker should you request that we refer you 

  • For the safety and security of you, our staff, and the owners and occupants of property we research or negotiate or place under contract for you

  • To provide information to relevant authorities (such as ambulance, hospital, police and insurers) if an accident occurs or the property is damaged

  • To provide information to relevant authorities, (such as ambulance, hospital, police and insurers) if a crime is committed or suspected to have been committed at the property

  • We may be required to collect and/or surrender your personal information under Commonwealth and Victorian laws relating to the sale of real estate, taxation, foreign investment, money laundering and terrorism.

Security of your personal information

 

We take reasonable steps to ensure the security of all information we collect from you. Your information is stored in an environment which can be accessed only by our authorised personnel.  Data transmitted over the internet or information stored on servers accessible through the internet cannot be guaranteed to be fully secure. These activities are undertaken at your risk.
